It is written to comply with India's Digital Personal Data Protection Act, 2023.

Tripology Holidays Pvt. Ltd. is an international travel company established in 2014, headquartered in Ahmedabad with branch offices in Mumbai, Bangalore, Chennai, and Surat. We design bespoke international travel across 55+ countries for families, corporates, and groups.

02Information We Collect
We collect only what we need to answer your enquiry and deliver your travel. Depending on how you engage with us, this may include:
Information you give us directly
- Contact details — name, email address, phone number, city, and how you'd like us to reach you.
- Travel preferences — destinations, dates, group size, budget, dietary needs, accessibility requirements, and special interests.
- Traveller documentation — for confirmed bookings and visa processing: passport details and copies, photographs, date of birth, nationality, and supporting documents such as bank statements, employment letters, or invitation letters where a visa requires them.
- Payment information — billing details needed to process payments. Card and bank transactions are handled through our banking and payment partners; we do not store full card numbers on our systems.
- Correspondence — the content of your emails, WhatsApp messages, call notes, and enquiry forms.
Information collected automatically
- Usage data — when you visit tripology.com, standard technical information such as your browser type, device, approximate location derived from your IP address, and the pages you view. This helps us keep the site secure and understand what visitors find useful.
- Cookies — small files that help the website function and, where enabled, measure aggregate visitor activity. See Section 06.
Our website is primarily informational. Most personal data reaches us only when you choose to enquire — by email, WhatsApp, phone, an enquiry form, or by visiting one of our offices.

- Respond to your enquiries and prepare customised itineraries and quotations.
- Make travel arrangements on your behalf — flights, hotels, transfers, cruises, sightseeing, and experiences.
- Process visa applications and prepare the documentation each destination requires.

- Send you service communications about your booking, and — only where you have agreed — occasional offers and travel updates.
- Keep records required under Indian tax, accounting, and travel-industry regulations, and to prevent fraud.
We rely on your consent, the performance of our contract with you, our legitimate business interests, and our legal obligations as the lawful bases for using your data.
04How We Share Your Information
Delivering international travel means sharing certain details with the parties who fulfil your trip. We share only what is necessary, and only for the purpose of serving you. These may include:
- Travel suppliers — airlines, hotels, cruise lines, ground handlers and destination management companies, transport providers, and activity operators.
- Visa and government authorities — embassies, consulates, visa application centres, and immigration authorities, as required to obtain your visas and permits.
- Insurance providers — where you purchase travel insurance through us.
- Payment and banking partners — to process your payments securely.
- Professional and IT service providers — accounting, legal, and secure technology partners who support our operations under confidentiality obligations.
- Authorities — where disclosure is required by law, court order, or a valid regulatory request.
We do not sell your personal data. Because your journeys are international, some of these parties are located outside India; where that happens, we share your data only to the extent needed to arrange the travel you have asked us to book.
05AI-Assisted Travel Planning
Some of our planning tools use artificial intelligence to help prepare itineraries and travel dossiers — for example, generating destination guides, weather summaries, and dining or sightseeing suggestions. Where such tools are used, we do not use them to make final decisions about your booking on their own, and we take care that the information we share with any assisting service is limited to what is needed to prepare your travel material.
06Cookies
Our website uses cookies and similar technologies to help pages load correctly and, where enabled, to understand in aggregate how visitors use the site so we can improve it. You can control or delete cookies through your browser settings. Blocking some cookies may affect how parts of the site work.
07Data Security
We apply reasonable technical and organisational measures to protect your personal information against unauthorised access, loss, or misuse, including secured servers, encrypted connections, and access limited to authorised staff. Sensitive documents such as passports are handled only by team members involved in your booking. No method of transmission over the internet is completely secure, but we work to protect your data at every stage and to keep it only as long as needed.
08How Long We Keep Your Data
We retain your personal information for as long as needed to serve you and to meet our legal, tax, and accounting obligations. Enquiry data for trips that don't proceed is kept for a limited period and then deleted or anonymised. Booking and financial records are retained for the periods required under Indian law. You may ask us to delete data we are not legally required to keep.
09Children's Privacy
Our website and services are directed at adults planning travel. We do collect details of minors when they are part of a family or group booking, but only from the booking adult and only for the purpose of arranging that travel. We do not knowingly collect data directly from children.
10Your Rights
Under the Digital Personal Data Protection Act, 2023, you have the right to:
- Access the personal data we hold about you and ask for a summary of how it is used.
- Request correction of inaccurate or incomplete data.
- Request erasure of data we are not legally required to retain.
- Withdraw consent for optional communications at any time.
- Nominate another person to exercise your rights in the event of your death or incapacity.
- Raise a grievance about how we handle your data.

13Governing Law
This Privacy Policy is governed by the laws of India, and the courts at Ahmedabad, Gujarat shall have exclusive jurisdiction over any matter arising from it.
